Using Working Locations to record hybrid working

All system users (No special permissions required).


Overview

This guide explains how to book fixed or recurring working locations to communicate your schedule across the company.


How Working Locations Work

  • Shows where you'll be working (office/home) on the shared calendar
  • Overrides previous location bookings automatically
  • Doesn't affect leave entitlements or absence reporting


How to Set Up Working Locations

1. Book a Fixed Date Location

  1. While on your Personal Dashboard or Group Calendar, click on Update Working Location (top-right, left of 'Book Time Off')
  2. Verify your name appears in For (or select another user if booking for them)
  3. Choose Working location from dropdown
  4. Ensure Fixed date is selected
  5. Pick date + daypart (Full, AM or PM)
  6. Add notes if needed
  7. Click Submit

2. Book Recurring Locations

  1. Follow steps 1-3 above
  2. Select Recurring
  3. Set:
    • Start date
    • Daypart
    • Frequency (e.g., "Every 1 week")
    • Weekdays affected
    • End date
  4. Click Apply
  5. Review summary > Click Submit

Additional Information

Key Terms

  • Daypart: Full day, AM, or PM selection
  • Override: New bookings automatically replace previous ones

Permissions & Prerequisites

  • No approvals required for bookings
  • System admins must create locations first

Tips & Best Practices

  • Use recurring bookings for regular patterns (e.g., every Thursday)
  • Reminder: Cannot edit bookings - submit a new one to correct errors
  • Pro Tip: Use the search function within the platform to quickly find features or settings.

Important Notes

  • Warning: Template overrides Global settings
  • No notifications are sent for location changes
  • Locations appear only on the Group Calendar when the calendar toggle is ON
