User Views - Template level reporting user view

Who this guide is for: System administrators – Requires ‘System Admin’ role and User Templates permission


Overview: This guide explains how to set the Reporting User View at the Template level, overriding Global settings to control which users appear in reports for everyone assigned to that template.


How Reporting User View Works: The Reporting User View applies a filter to all reports run by users on that template:

  • My Record: Only the current user’s data
  • Reportees: Direct and alternative-authorisation reportees
  • Everyone: All active users
  • Custom: Uses a Custom View filter (must exist under System > Custom Views)
  • Direct Reportees: Only direct reportees, excluding alternative authorisation
    Descendant levels can include multiple management tiers.


How to Set Up Reporting User View (Template):

  1. Go to Admin tools > Admin panel > Template.
  2. Locate the template and click Edit; you’ll land on the Template Settings tab by default.
  3. Scroll to Reporting User View.
  4. Select one of: My Record, Reportees, Everyone, Custom, Direct Reportees.
  5. Click Save Template at the top of the page.


Additional Information:

  • Reporting User View: The filter applied in reports for template users
  • Custom View: Must be created under System > Custom Views before assignment
  • Requires ‘System Admin’ role and User Templates permission
  • Warning: Template-level settings override Global settings
  • Tip: Use Bulk User Update to apply template changes to multiple users
  • Use the search function within the platform to quickly find features or settings.
