The edays Mobile App: FAQ

Frequently Asked Questions


Q: How much does the App cost?

A: The edays App is free. You can download it from either Apple or Google app stores.


Q:  Is the edays app automatically included with my edays subscription?

A:  Yes, every edays subscription will automatically include access for all their employees to download and use the mobile app at no additional cost.


Q: Can I access the edays app if I do not have an edays subscription?

A: You will be able to download the edays app from the app store, but in order to use the app you must have access to an active account and an active edays URL in order to log in and use the features of the edays app. 


Q: Can I access an old edays account if I have left the business that used it? 

A: If you had an edays account at a business you formerly worked at the business will have set you as a leaver, which will have removed your access or they will have deleted your account. 


Q:  Is the edays app free to download?

A: Yes, there is no cost to the business or the user to download the edays mobile app from the app store. 


Q: What are the benefits to usng the edays app?

A: The primary benefit is for employees and managers to submit leave requests (for holidays or other types of absence) and/or action leave requests without having to log into the edays system through a browser. This makes it easier and faster for everyone to use. For those who have used the browser interface on their mobile device to request leave or to action it, they will know that it isn't as easy as it could be... the app solves all those problems!


Q: Who is the edays app designed for?

A: The app is designed for end users (employees) and managers. It is not designed for carrying out specific administrator tasks, such as creating or updating leave policies.


Q: Can I be logged into the edays app on more than one device?

A: Yes, an individual token will be applied to each device you have. If you attempt to submit leave at the same time.


Q: How can I locate my unique edays business URL?

A: You can find by your unique business URL by logging into your edays account on a computer and looking at the URL bar at the top of the screen. Your URL will consist of https://uniquecompanyurl.e-days.com – the section of text highlighted here in green will be different, and unique to your business. Take note of what this section is between https:// and .e-days.com. This is the text you need to enter in the login screen of the edays app. Please note, the URL is exactly as it appears, without spaces. 


Q: What is my username and password for the mobile app?

A: Your username and password for the edays mobile app is the same as the username which was assigned to you for your edays system and the password you set upon registration. Details of this may be saved if you utilise a password saving application on your computer.


Q: What do I do if I have forgotten my password? 

A: If you have forgotten your username and password, you can click ‘Forgotten my password?’ under the login button where you can enter the email address your edays account is linked to and a password reset link will be emailed to you. Please note: changing your password will require you to sign into any other locations where you are logged in again. As an example, if you use edays on your work computer and you reset the password to access it on the app, you will need to log in again on your work computer with the new password you have set.


Q: Is there functionality available through the web interface, which isn't available through the app?

A: Yes. In essence the app is designed for the end user, whether they are an employee or a manager, for submitting and actioning leave requests. For all other functionality, which is typically used by HR professionals, such as reporting and policy creation and updates, the browser based UI is still required.


Q: Is further functionality planned for the edays app?

A: Yes. We have been through extensive testing and feedback for this initial release in order to come out with the set of functionality that is there. We will continue to gather feedback as to what else people would like to see in the app in the future as well as any recommendations for changes as to what we already have.


Q: When starting the app, I get three dots, what does this mean?

A: The three dots indicates that the app is loading data. Note: During the beta period, there may be a need to remove and re-install the application. 


Q: What do I do if I have an issue?

A: If you are an end-user / employees or managers, then as per normal, contact your HR department for them to resolve. For edays admins, use the standard approach of logging a ticket through the edays support portal (as you would usually do with the standard edays browser version.)


Q: Which mobile devices / OS do you support?

A: We support the latest OS versions of both iOS (Apple) and Android. The earliest versions we support are iOS 12.4 and Android 5.0 (API 21). 


Q: Which version of the app am I using (Apple)?

A:  At present to find the app version number, go to the main settings, then to 'General' and to 'iPhone Storage', scroll down the list of apps until you find edays and click on it, it will give the version number and the current storage used. (A future release will make it easier to find the version number.) 


Q: Which version of the app am I using (Android)?

A: Press on the edays logo (on the home screen) and the details of the app, included the version number, will be listed. (A future release will make it easier to find the version number.)


Q: What about SSO? Does that still function when I log in?

A: When you first access the app you have to type in the edays URL of your system, after that you go to a log in screen (still web based), the same one as the main web app. If you have SSO enabled it logs you in via SSO, then feeds an authentication token to the mobile app just as if you’d signed in manually. It should all work- famous last words!


Q: I'm a Cornerstone customer, can I use the App?

A: It depends, there is an issue for customers who use the Cornerstone specific SSO. If this is the case, then the App won't be available to you. Cornerstone is working with edays to resolve this issue a.s.a.p.


Functional Questions


Q: How can I request leave on the edays mobile app?

A: You can request leave in the edays mobile app in two ways. You can select the blue, rectangular ‘Request +’ button located in the middle of the home screen or you can select the circular, blue ‘+’ button located in the middle of the navigation bar at the bottom of the screen. For detailed instructions on the individual steps of requesting leave, please see the edays mobile app quick start guide. 


Q: I need to book a half day holiday followed by a full day holiday. Do I need to submit this as multiple instances of leave? 

A: No, you can submit instances of holiday such as this as one single instance. To do this, follow the steps to request leave as detailed in the edays mobile app quick start guide. On the final page before you submit there is an option to separate leave dates, with a greyed-out slider located to the right of it. To enable this, slide it to the right, which will turn the slider blue. This will then give you the ability to specify which of the dates you have selected for leave should be full days and which should be half. 


Q: Can I request holiday if I no longer have entitlement? 

A: You can request leave if you no longer have entitlement. In some instances, you may request leave that would be unpaid when entitlement leave has been depleted in which you would not be paid for.  


Q: Can I submit leave requests on behalf of someone else? 

A: You can only book leave requests on behalf of someone else if you have authorisation over another employee. For more information, please see the question which relates to ‘I am a manager; can I submit sickness for my staff via the mobile app?’ in this FAQ. 


Q: Can I cancel leave on the mobile app? 

A: Leave can be submitted and viewed via the app, but at this time, it cannot be cancelled. To cancel submitted leave, please see the edays web application.

 

Q: Can I amend leave on the mobile app?

A: Leave can be submitted and viewed via the app, but at this time, it cannot be amended. To amend submitted leave, please see the edays web application. 


Q: I am a manager; can I see details of my staff’s leave in the mobile app?

A: Yes, by clicking the managerial tab on the home screen, you can scroll down and click to view staff’s entitlement. You can also use the search bar located at the top of the screen to locate staff’s entitlement and records. 


Q: Where can I see when my next instance of upcoming leave is on via the mobile app? 

A: The next instance of leave can be seen in a few different locations on the app

  1. Under Your Overview at the top of the home section of the app on the navigation bar located at the bottom of the screen the first tile indicates the date of next leave
  2. On the home section of the app and under the blue, rectangular ‘Request +’ button there is an upcoming leave section. This indicates the next instance of leave. You can view it from the main homepage or click view more to see a list of upcoming absences. These can be viewed in a calendar view or list view. 
  3. You can see a calendar view of upcoming leave by clicking the calendar section of the app, located on the navigation bar at the bottom of the screen. From here, navigate to the personal calendar. You can then see the next instances of absence


Q: Can I check how many entitlement days I get per year on the mobile app? 

A: You can see your annual entitlement by navigating to the home screen located in the navigation bar at the bottom of the screen. From here go to the Your overview section located at the top of this screen and click view more. The Holiday section will show your total annual entitlement. Just above the holiday section, the edays app will detail what the holiday year of your business is. 


Q: Can see how the number of days entitlement that have been approved and how many are pending? 

A: You can see entitlement that is approved and pending by navigating to the home screen located in the navigation bar at the bottom of the screen. From here go to the Your overview section located at the top of this screen and click view more. The Holiday section will show your total annual entitlement and what is used and authorised. If you have any other types of entitlement such as me days or long service days, you can scroll down to see the total amount used and pending. 


Q: Can I see my remaining entitlement on the mobile app? 

A: You can see entitlement that is remaining by navigating to the home screen located in the navigation bar at the bottom of the screen. From here go to the Your overview section located at the top of this screen and click view more. The Holiday section will show what is available to book. If you have any other types of entitlement such as me days or long service days, you can scroll down to see the total amount remaining. 


Q: I have access to additional leave as a result of a long service award, where can I book these additional days? 

A: Any additional entitlement days given to you by your company such as me days, volunteer days, training days or a long service award can be booked from the leave types that appear when you click the request leave button. The Overview page will detail how many days total you have for each leave type as well as what you have booked, pending and what’s available to book. 


Q: Can I submit my own sickness leave? 

A: This will depend on the permissions given to you by your business. If you can submit your own sickness leave, you can do this by select the blue, rectangular Request + button located on the home screen or the blue, circular ‘+’ button located on the navigation bar at the bottom of the screen. For more information on how to book leave, please see our quick start guide. 


Q: I am a manager; can I submit sickness for my staff via the mobile app? 

A: Yes, you can do this by navigating to the managerial tab of the home page. From here you can scroll to find the member of staff you wish to submit an instance of sickness for or click the magnifying glass in the top right corner of the screen to search for the member of staff by typing in their name. Please note to submit leave or absence for another member of staff, you must have authorising permissions for them. 


Q: What does my Bradford Factor score indicate? 

A: The Bradford factor (sometimes referred to as the Bradford scale) is a formula used by HR departments to calculate the impact of a user's unplanned leave on the company, which are based on the frequency and length of an unplanned absence during a defined period, usually 52 weeks. The formula used is B= S² x D (B = Bradford factor score, S = total number of spells (instances) of absence for that individual in the given period, D = total number of days the individual was absent during the given period)

Q: How can I see what overtime I have earned?

A: If your business allows you to record overtime this will be visible in the overview section of the app. You can view it from the home page by scrolling sideways through the Your Overview boxes or alternatively, you can select view more next to your overview and scroll down to overtime where it will indicate the total hours earned. 


Q: How can I see what TOIL (time off in lieu) I have earned? 

A: If your business allows you to record TOIL (time off in lieu) this will be visible in the overview section of the app. You can view it from the home page by scrolling sideways through the Your Overview boxes or alternatively, you can select view more next to your overview and scroll down to TOIL where it will indicate hours earned, hours spent and hours available to spend. 


Q: How can I submit a request to use leave via TOIL (time off in lieu)?

A: If your business allows you to record TOIL (time off in lieu) this will be an option to select from the request leave section along with holiday, sickness and other leave types. 


Q: Can I submit my hours worked via the mobile app? 

A: At this time, the mobile app does not support submitting time tracking. You can however view time tracking data via the edays web application. Please note seeing time tracking is subject to your business having time submissions active on their subscription. 


Q: Can I specify my working location via the mobile app? 

A: At this time, the mobile app will only show instances of absence and leave. To record or check working locations, please see the edays web application. 


Q: I am a manager; can I access the documents portal via the mobile app?

A: At this time, the only content you can see with regards on the mobile app with regard to staff that you oversee is leave and sickness records. There are no plans at this point to make documents accessible via the mobile app due to security. 


Q: How can I view who else in the business is off?

A: If you have been provided with permissions to view leave for other staff, you will be able to see that within the calendar. Navigate to the calendar section located on the navigation bar at the bottom of the screen. Once you are in the calendar you can see All, Personal or Team. To see all other staff in the business, select All. From here, you can see what dates leave will occur on, indicated by the colour of the circle. (Please see ‘What does the calendar key show?’ question for more information). You can also see who has approved leave and who has pending leave by selecting individual dates on the calendar.


Q: How can I view when other staff in my team are off? 

A: If you have been provided with permissions to view leave for other staff, you will be able to see that within the calendar. Navigate to the calendar section located on the navigation bar at the bottom of the screen. Once you are in the calendar you can see All, Personal or Team. To see other staff assigned to the same team as you, select Team. From here, you can see what dates leave will occur on, indicated by the colour of the circle. (Please see What does the calendar key show? question for more information). You can also see who has approved leave and who has pending leave by selecting individual dates on the calendar. 


Q: What does the calendar key show? 

A: The key in the calendar indicates a couple of things, dependent on which view you are looking at. All and Team show each date within a yellow circle. There are three different shades of yellow. The key indicates the number of absences on the calendar for that day for each shade of yellow. The personal calendar view shows authorised absences as a green circle and pending absences as a grey circle. Sickness absences are highlighted as red. 


Q: How can I look back at absences in the calendar that occurred a year ago?

A: To view holidays in the past or in the future first navigate to calendar located on the navigation bar at the bottom of the screen. Next click on the personal tab. From here you can select from the dropdown box located at the top of the screen to select the month and year you wish to look at. Press select to be directed to that month. You can also navigate forward or backwards in months by scrolling up or down the screen as you would if you were looking at a website on your mobile phone by using your finger in the middle of the screen. You can view this in calendar mode or list mode which can be switched by the buttons at the top of the app next to the month and year selected. 


Q: How will I know if my request for leave have been approved? 

A: There are a couple of ways you can see when absences have been approved. 

  1. If you have push notifications enabled for authorisation, you will receive a notification that the absence has been approved
  2. Navigate to home located on the navigation bar at the bottom of the screen > your overview > view more. From here, under the entitlement tab, you can see available, pending and used holiday. Pending will appear as yellow within the circular graph. 
  3. Navigate to home > your overview > view more. From here, under the records tab and under the calendar view of the records you can see leave dates submitted on your behalf. Click the date you wish to check has been approved. A breakdown will appear for that day and show what leave has been authorised and what leave is pending. 
  4. Navigate to calendar located on the navigation bar at the bottom of the screen > Click the date you wish to check has been approved. A breakdown will appear for that day and show what leave has been authorised and what leave is pending.


Q: Can I change my language settings? 

A: Yes, language settings can be changed by navigating to the profile section, which can be found by clicking ‘profile’ on the navigation bar located on the bottom of the screen. This will bring up your profile and settings. Navigate to the Language settings section and click on the language currently applied to the app. The default language is currently set to English.


Q: How can I log out of edays? 

A: To log out of your edays account on the mobile app, first navigate to the profile section, which can be found by clicking ‘profile’ on the navigation bar located on the bottom of the screen. This will bring up your profile and settings. At the bottom of the screen there is a blue, rectangular ‘Log Out’ button. Click this button to log out of the app.
