Rota Setup - Adding a new days rota pattern

Who this guide is for
System Administrators (Requires 'System Admin' role and 'Global rota setup' permission)

Overview
This guide explains how to create days-based rota patterns for weekly or custom cycles, which integrate with days-based absence types.

How Days-Based Rota Patterns Work
These patterns allow simple assignment of working days (full or half days) that align with days-based absence booking processes.

How to Set Up Days-Based Rota Patterns

  1. Navigate to Admin > Calendar elements > Rota patterns
  2. Click + Add rota
  3. Enter a clear name for the rota pattern (description optional)
  4. Select the pattern type:
    • Weekly Pattern for regular weekly rotations
    • Daily Pattern for daily rotations
  5. Apply the number of weeks or days included in the pattern
  6. Configure the Calendar Day View timeframe
  7. For each working day, select a working status:
    • Full day
    • Half day (AM)
    • Half day (PM)
  8. Set each non-working day accordingly
  9. Click Save at the top of the page to confirm the rota pattern

Additional Information

  • Key terminology:
    • Days-based pattern = A rota pattern based on full or half working days rather than hours
    • Calendar Day View = How the rota period displays within the user’s calendar
  • Permissions required: 'System Admin' role and 'Global rota setup' permission
  • Best practice: Align half-day designations with organisational norms for clarity
  • Tip: Use the search function within the platform to quickly find features or settings
  • Reminder: Absence bookings follow the rota pattern’s day definitions
  • Warning: Changes take effect immediately after saving
