This guide explains how to set minimum staffing levels for groups, ensuring adequate coverage by not allowing excess absence requests. Options include seasonal, variable, and pooled absence limits.
How Minimum Staffing Levels Work:
Minimum staffing rules prevent too many employees being absent simultaneously. You can:
- Set fixed or seasonal limits (e.g., "max 10% absent in summer")
- Apply pooled limits (e.g., "max 5 days total absence in December")
How to Set Up Minimum Staffing Levels:
- Navigate to Admin Tools > Admin Panel > System > Group Types.
- Click List next to the relevant Group Type, then Edit for the specific Group.
For Seasonal Limits:
- Select Seasonal.
- Choose:
- Amount or Percentage as the limit.
- Enter the maximum allowed (e.g., "10%").
- Tick Seasonal Variation to add dates (e.g., summer months).
- Click Save.
For Variable Limits:
- Select Variable.
- Click Add period to set Start/End dates and maximum absences (e.g., "5 users").
- Click Add to include additional periods.
- Click Save.
For Pooled Absence Limits:
- Tick Use Pooled Absences.
- Click Add period to set Start/End dates and total allowed absences (e.g., "5 days").
- Click Add for more periods.
- Click Save.
