Overtime/TOIL Setup - Editing an overtime or TOIL type

Overview:
This guide explains how to edit the settings of an existing Overtime or TOIL Type, allowing you to control naming, cancellation rules, payment status, duration entry, entitlement incrementation, time units, booking permissions, and more.


How Overtime/TOIL Type Configuration Works:
Each Overtime or TOIL Type defines how extra hours are recorded and managed. You can customise its Name and Description, control who can cancel entries, enable paid marking, require manual duration, auto-increment TOIL entitlements, set time units, and restrict booking permissions. Editing these settings ensures your approval and reporting processes align with company policy.


How to Set Up Overtime/TOIL Type Settings:

  1. Go to Admin tools > Admin panel > Global > Overtime and TOIL Types.
  2. Click Edit next to the Overtime or TOIL Type you wish to update.
  3. Under Type Details, adjust the Name and Description.
  4. In Cancellation Settings, enable or disable:
    • Allow cancellation by users
    • Use authorisation for cancellation
    • Allow cancellation by authorisers
  5. If configuring an Overtime Type, toggle Can mark as paid.
  6. Set Manual duration entry to require users to enter a duration instead of start/end times.
  7. Under Entitlement Incrementation (TOIL Types only), enable and enter the Increment Rate.
  8. Choose the Time Unit (Hours or Days) for new records.
  9. In Booking Permissions, set:
    • Can book own
    • Can book reportees
    • Can book others
  10. Apply any additional settings as needed.
  11. Click Save at the top of the page.

  • Overtime/TOIL Type: Defines rules for logging and managing extra hours.
  • Cancellation Settings: Control who can cancel and whether approval is required.
  • Can mark as paid: For Overtime Types to flag paid hours.
  • Manual duration entry: Forces duration fields over start/end times for precision.
  • Entitlement Incrementation: Automatically adds TOIL entitlement when a TOIL record is created.
  • Time Unit: Determines if records count in hours or days.
  • Booking Permissions: Grant booking rights to users, managers, or HR.
