Who this guide is for: System administrators – Requires 'System Admin' role and Overtime and TOIL Setup permission
Overview:
This guide explains how to update the booking permissions on an existing Overtime or TOIL type, controlling who can book their own, their reportees’, or others’ additional hours.
How Overtime and TOIL Booking Permissions Work:
Each Overtime/TOIL type has three booking controls:
- Can book own Overtime: allows users to log their own extra hours.
- Can book reportees Overtime: allows managers to log hours for direct reports.
- Can book others Overtime: allows designated staff (e.g. HR) to log hours on behalf of any user.
Adjusting this ensures only authorised roles can create or manage overtime/TOIL entries.
How to Set Up Overtime and TOIL Booking Permissions:
- Go to Admin tools > Admin panel > Global > Overtime and TOIL Types.
- Click Edit next to the Overtime or TOIL type you wish to update.
- On the type’s detail page, locate the Can book own Overtime, Can book reportees Overtime, and Can book others Overtime settings.
- Enable or disable each option according to your policy.
- Click Save at the top of the page.
Additional Information:
- Can book own Overtime: Grants users permission to record their extra hours.
- Can book reportees Overtime: Grants managers permission to record hours for their direct reports.
- Can book others Overtime: Grants broader permission (e.g. HR) to record hours for any user.
- Requires 'System Admin' role and Overtime and TOIL Setup permission.
- Tip: Standardise booking permissions across similar types to avoid confusion.
- Warning: Over-permissive settings may lead to unauthorised entries.
- Use the search function within the platform to quickly find features or settings.
