Changing the Calendar Year – Global

Overview

This guide explains how to modify the calendar year start date at the global level and how this change affects user entitlements and existing system data.


How Calendar Year Changes Work

Adjusting the calendar year impacts how entitlements are calculated and may affect existing absence records. The system can automatically prorate entitlements when shifting the year forward or backward.


How to Change the Calendar Year

  1. Navigate to: Admin Panel > Global > Global Settings
  2. Scroll to Format Settings
  3. Click Change calendar year
  4. Select your new calendar year start date (Day/Month)
  5. Choose which entitlement pots should be affected
  6. Optional: Check 'Force overridden users to use new calendar' to apply changes to users with individual settings
  7. Select whether to:
    • Calculate new entitlements
    • Adjust carryover records
  8. Click Change calendar year to confirm


Understanding Entitlement Calculations


Forward Shift (Year Start Moves Later)

  • Creates a gap between years
  • System extends current year to cover the gap
  • Current year's entitlement covers absences in the gap period

Backward Shift (Year Start Moves Earlier)

  • Creates an overlap between years
  • System prorates current year's entitlement
  • Previous year's entitlement covers absences in the overlap
