Carry-over Settings for Entitlement Carryover/Transfer

Who this guide is for

System administrators managing leave entitlements.


Overview

This guide explains how to enable manual carry over requests at Global, Template, and User levels, allowing employees to request transfer of unused leave on the front-end of the system.


How Manual Carryover Requests Work

Employees can request to carry over unused leave if:

An entitlement is selected in "Allow manual carry-over to" (in carryover configuration).

Entitlement transfer is enabled in Carry-over Settings on the "System" tab, either on a global, template, or user level.

Settings follow the hierarchy: User > Template > Global (user-level overrides all).


How to Set Up Manual Carryover Requests

  • Global Level (applies to all users that don't have a template- or user level override)
    1. Go to Admin Tools > Admin Panel > Global > Global settings
    2. Scroll to "Carry-over Settings"
    3. Tick the checkbox for any of the entitlements to be enabled:
    4. Click "Save" at the top right corner of the page


  • Template Level (applies to users in a template that don't have a user level override)
    1. Go to Admin Tools > Admin Panel > Templates 
    2. Click "Edit" on the relevant template.
    3. Select the "Template settings" tab.
    4. Under "Carry-over Settings", 
    5. Click "Save template".


  • User Level (applies to individual users)
    1. Go to Admin Tools > Users.
    2. Search for the user and click "Edit".
    3. Select the "User settings" tab.
    4. Under Carry-over Settings, set the intended setting for manual carry-over of entitlement to Yes (enable) or No (disable) - see "Key Terms" below for explanation of each of the settings 
    5. Click "Save user"

  • Key Terms
    • Carry-over: Transferring unused leave to the next year.
    • Enable entitlement carry-over for planned entitlements - if manual carry-over has been enabled on any planned entitlements (f.e Holiday), then enabling this setting will give the user the option to request the planned entitlement to be carried over
    • Enable entitlement carry-over for unplanned entitlements - if manual carry-over has been enabled on any unplanned entitlements (f.e Sickness), then enabling this setting will give the user the option to request the unplanned entitlement to be carried over
    • Enable entitlement carry-over for Overtime and TOIL entitlements - if manual carry-over has been enabled on any Overtime/TOIL entitlements, then enabling this setting will give the user the option to request the entitlement to be carried over

    • System Admin or HR Admin role
  • Best Practices
    • Configure at Global and/or template level for efficiency (avoids manual user-level updates).
    • Clearly communicate carryover policies to employees.
    • Use the search function within the platform to quickly find features or settings.
  • Important Reminders
    • User-level settings override Template & Global.
    • These settings work together with the "Allow manual carry over to" setting on the entitlement element - that setting needs to be configured for this to function as intended
