Overview:
This guide explains how to import user data into edays using the User Import/Export Tool. It allows you to bulk update or correct user profiles quickly by uploading an edited CSV file, saving time compared to manual profile changes.
If you haven't exported a template yet, refer to the Exporting User Data guide first.
How User Import via CSV Works:
The import tool lets you make changes to user fields in bulk—from contact info to team assignments. You download current data, edit the file, and reimport it into edays to apply the changes.
How to Prepare Your CSV File
- Export the CSV first using the User Import/Export Tool (see the Export guide for steps).
- Open the file in a spreadsheet editor (e.g. Excel).
- Follow these rules when editing:
- Text fields (e.g. names, phone numbers) can be freely edited.
- System fields (e.g. Rota, Teams, Templates) must match the exact name and spelling already configured in edays.
- For multiple entries in a field (e.g. custom days or multiple teams), separate each item with a semicolon (e.g.
HR;Finance
). - Do not change or delete column headers or user identifier values.
- Save the file in CSV format before importing.
How to Import the Edited CSV File
- Go to Admin Tools > Admin Panel > Users > User Import / Export.
- Reconfigure the top section of the page to match your original export settings:
- Ensure the User Identifier and Field Delimiter match what you used for export.
- Scroll to the bottom of the page.
- Click Choose File and select your updated CSV.
- Click Import to start the process.
What Happens Next
- The system will begin processing the file.
- Once finished, a summary will appear at the bottom of the screen:
- It will show the number of successful rows.
- Any errors will be listed with details of the issue and row number.
- You can fix the errors in the CSV and re-import if needed.
