Overview:
This guide explains how to use the Bulk User Update tool in edays to add, remove, or swap users in groups. This function lets you manage group memberships for multiple users simultaneously, without editing profiles individually.
How Bulk Group Updates Work:
You can make three types of group membership changes in bulk:
- Add users to a group – Assign selected users to an additional group.
- Swap users between groups – Replace one group assignment with another.
- Remove users from a group – Take users out of a specific group.
Note: If the group type does not allow multiple selections and the user is already assigned to a group of that type, they cannot be added to another without first being removed.
Step 1: Access the Bulk User Update Tool
- Go to Admin Tools > Admin Panel.
- Navigate to Users > Bulk User Update.
Step 2: Configure the Group Update
- Under What would you like to update?, set Category of Data to Update to Group.
- Select the type of change:
- Add users to a group
- Swap users from one group to another
- Remove users from a group
- Select the Group Type (e.g. Team, Location, Department).
- Select the specific group name to apply the update.
Step 3: Choose Users to Update
You can include users in multiple ways:
- Specify Groups – Select users belonging to certain countries, locations, teams, or other group types.
- Specify User Templates – Include all users from a chosen template.
- Include Reportees and Leavers – Tick these boxes to include direct reports and/or leavers.
- Specify Individuals – Search for and add specific users manually.
- Review the List – Remove any individuals you do not want to include.
Step 4: Apply the Update
- Once all users are selected, click Update Users.
- The group changes will be applied to all selected users.
Additional Information:
- Group Type: A category of groups, e.g., Teams or Locations.
- Requires 'System Admin' role, Bulk User Update permission, and Users permission.
- Tip: Check group type settings before updating—if multiple selections are not allowed, users must be removed from their existing group before being added to another.
- Group updates take effect immediately and can impact permissions, reporting, and visibility.
- Use the search function within the platform to quickly find features or settings.
