Entitlement Setup - Set a Template level overbooking mode

Who this guide is for: System administrators. Requires 'User Templates' permission.

Overview:

This guide explains how to configure overbooking mode for entitlement pots at the Template level, allowing or restricting users from booking absences beyond their entitlement balance.

How Overbooking Mode Works:

Overbooking mode determines whether users can submit absences that exceed their entitlement balance. Options include:

  • Allow: Users can overbook.
  • Deny: Users cannot submit absences that result in a negative balance.
  • Prompt: Users receive a warning before overbooking.
  • Inherit: Follows the Global-level setting (only presents on template- and user-level)

How to Set Up Overbooking Mode:

  1. Navigate to Admin tools > Admin panel > Templates
  2. Locate the template and click Edit.
  3. Select the Entitlements tab.
  4. Click Edit next to the entitlement pot.
  5. Set Overbooking mode to Allow, Deny, Prompt, or Inherit default value.
  6. Click Save template at the top of the page.

How to Access Overbooking Mode via Search
You can quickly find and amend Overbooking Mode using the search bar:

  1. Click on the search bar and type Overbooking mode
  2. In the results, select whether you want to edit at Global, Template, or User level
    • For example, as this guide is for amending the setting on a template level, then you want to amend Overbooking Mode at a Template level, select Overbooking mode – Templates
  3. A pop-up window will appear
  4. From the dropdown menus, select the relevant Template and the Entitlement pot
  5. Click Confirm to open the setting
  6. Make the required changes to Overbooking Mode and Save

Additional Information:

  • Key terms:
    • Entitlement pot: A group of leave types with shared settings.
    • Overbooking: Booking absences beyond available entitlement.
  • Prerequisites: 'User Templates' permission required.
  • Tip: Use the search function to quickly find templates or settings.
  • Reminder: Template-level settings override Global settings.
