Overview:
This guide explains how to set the Overbooking Mode at the User level for a specific entitlement pot, overriding Template and Global settings to control whether a user may book into a negative balance.
How Overbooking Mode Works:
Overbooking Mode determines if a user can exceed their entitlement pot when booking absences:
- Allow: User may book beyond their balance.
- Deny: User cannot submit any absence that would take them negative.
- Prompt: User sees a warning and can choose to proceed or cancel.
- Inherit: Applies the setting from the Template or Global level above.
How to Set Up Overbooking Mode (User):
- Go to Admin tools > Users.
- Search for the user and click Edit on their record.
- Select the Entitlements tab.
- Next to the target entitlement pot, click Edit.
- Scroll to Overbooking mode and choose: Allow, Deny, Prompt, or Inherit default value.
- Click Save user at the top of the page.

- Entitlement Pot: A grouping of leave amounts (e.g. Annual Leave) with its own balance.
- Requires ‘System Admin’ role and Users permission.
