Accrual policies - Configuration and examples

Who this guide is for: System administrators. Requires 'Entitlements' permission.


Overview:
This guide explains how to configure accrual policies, which grant additional entitlement based on an employee's length of service.


How Accrual Policies Work:
Accrual policies automatically grant a specified amount of time when employees reach the criteria specified within the rules, at the point of the pattern running. You are able to determine when and how frequently the awards run through accrual patterns.

Example long service setups:

1. Length of service award of 1 day given to users if they have worked in the company for at least 5 years at the start of the year (month amount 60):

  • Accrual pattern configured to Leave year start date
  • Accrual rule configured as follows:
    • Amount in days: 1
    • Restrict by service length (in months): Greater than - 59
  • ExplanationThe system will award users with 1 day at the start of every holiday year provided that they have worked in the company for at least 60 months. 


2. Length of service award of 3 days given to users if they have worked in the company between 3 and 6 years at the start of the year (month amounts 36 and 72):

  • Accrual pattern configured to Leave year start date
  • Accrual rule configured as follows:
    • Amount in days: 3
    • Restrict by service length (in months): Between - 35 and 73
  • Explanation: The system will award users with 3 days at the start of every holiday year provided that they have worked in the company between 36 and 72 months.


3. Length of service award of 2 days given to users at the point of them reaching 10 years of service:

  • Accrual pattern configured to Employment start date
  • Accrual rule configured as follows:
    • Amount in days: 2
    • Restrict by service length (in months): Equals - 120
  • Explanation: The system will award users with 2 days on the anniversary of their employment start date, but will not run it again after this.


Example monthly setup:

RTT setup - users get 2.08 on the first day of each month

  • Accrual pattern configured to Monthly
    • All months, 1st day of the month
  • Accrual rule configured as follows:
    • Amount in days: 2.08
    • Usually there are no restrictions on this award
  • Explanation: The system will award users with 2.08 days on the 1st day of each month configured in the pattern.


Example daily setup:

End of probation Sickness entitlement - user receiving Sickness entitlement of 5 days once they have been in the company for 3 months.

  • Accrual pattern configured to Daily
  • Accrual rule configured as follows:
    • Amount in days: 5
    • May be applied once only enabled
    • Restrict by service length (in months): Equals - 3
  • Explanation: The award will run every single day, but will only actually give the entitlement to the user on the day that it has been 3 months since their employment, and then won't run again.


Additional Information:

  • Key Terms:
    • Service Length: Calculated in months from start date
    • Between Filter: Use "35-48" to cover exact years (e.g., 36-47 months = 3 years)
  • Permissions: 'Entitlements' role required
  • Tip: Create separate elements for long service awards to keep tracking clear
  • Warning: Template settings override Global - disable globally to enable per-template
  • Search Tip: Use the search bar for "Entitlements" or "Accrual rule"
