This guide is for System Administrators (Requires 'System Admin' role and 'Time Tracking setup' permission to make amendments) but has been designed to share with end users.
Overview:
The digital clock in/out feature provides staff with a self-service time tracking solution, replacing paper timesheets with automated time recording.
How Clock In/Out Works:
Users can record working times with one-click functionality, with automatic overnight shift handling and conflict prevention.
How to Use Clock In/Out:
- Locate the Clock in button (top menu on all user pages)
- Click to start recording time (uses current local time)
- Click Clock out to end time recording (uses current local time)
Key Features:
- Time validation: Prevents same-minute clock in/out
- Conflict prevention: Blocks clock-in during existing entries
- Overnight handling:
- <24h gap: Prompts to confirm overnight work
- >24h gap: Allows new clock-in while keeping previous entry open
- Midnight crossing:
- Splits entries at 23:59/00:00 if overnight work confirmed
- Allows manual finish time specification if not overnight
Example Scenario:
Lionel (cleaner for Pallas Accountants):
- Records varying shifts across 3 northwest sites
- Clocks in/out for each shift (including overnight Friday)
- edays presents the time between clocking in and our for each shift
- System automatically handles overnight confirmation once entered by Lionel
Additional Information:
- Key terminology:
- Open time entry: Active clock-in period
- Overnight prompt: System confirmation for midnight-crossing shifts
- Prerequisites: Time Tracking must be enabled
- Tip: Ideal for mobile/multi-site workers
- Best practice: Train staff on overnight shift recording
- Reminder: Multiple open periods allowed if <24h apart
- Warning: Midnight crossings require manual confirmation
