Time Tracking - Accrual Pattern Set-up

This guide is for System Administrators (Requires 'System Admin' role and 'Entitlement setup' permission).
Overview:
Time Tracking's Accrual Policies feature enables automatic entitlement awards based on hours worked, supporting compliance with working time regulations and flexible benefit schemes.
How Time Tracking Accrual Works:
Accruals calculate automatically when timesheets are authorised, with awards based on configured rates (e.g., 3 hours leave per 8 hours worked). Rates can be customised at template or user level.
How to Set Up Time Tracking Accrual:

  1. Create accrual pattern:
    • Configure daily/weekly/monthly intervals
  2. Create accrual rule:
    • Navigate to Admin Panel > Global > Entitlements
    • Select Edit for target entitlement pot
    • On the next page, select Edit for target entitlement element
    • Under Accrual Rules click + Add new
    • Set pattern to your created accrual pattern via Entitlement accrual pattern
    • Set source to Time Tracking
    • Configure rate (e.g., "3 hours per 8 hours worked") and other settings as needed
    • Click Save

Key Configuration Options:

  • Rate calculation:
    • Expressed as "x hours per y hours worked"
    • Supports fractional rates
    • Accrues in minute increments
  • Award timing:
    • Applied upon timesheet authorisation
    • Refunded if timesheet is unlocked
    • Recalculated if resubmitted
  • Customisations:
    • Template/user-level rate adjustments
    • Service length/age restrictions
    • Rounding policies (up/down)

    • Negative adjustment: Automatic refund on unlocks
