Time Tracking - Rest Periods

This guide has been created for system administrators.

Specific role permissions may be required, including: System setup.


Overview:

Rest Periods are a mandatory regulation within the EU Working Time Directive, this feature within Time Tracking allows you to track and remain compliant with these regulations, for example - employees have a right to a minimum of 11 hours consecutive rest period every 24 hours. 


How to Set Up Rest Period Rules:

  1. Go to Admin Settings > Time Tracking > Breaks and Rest Periods.
  2. Set required rest periods at the global, template, or individual user level.
  3. The system will now track daily and weekly rest periods and flag any gaps that are too short.
  4. Breaks do not need to be enabled for this to work.




Note: The standard EU Working Time Directive rest period is 11 hours, but this may vary by country.


How the Reports Work:

  • The "Time Tracking Rest Period" report logs any cases where an employee has not taken enough rest between shifts.
  • Reports only track data from the point of setup (no historic data).


How Rest Period Checks Work:

  • Daily Rest Period: Checks the gap between an employee’s last recorded working time on one day and their first recorded time the next day. If the gap is smaller than the required rest period, it’s flagged in the report.
    • If a day has no time recorded, it automatically passes.
    • Overnight shifts are not fully supported as rest gaps occur at different times.
  • Weekly Rest Period: Ensures employees take at least one extended break between Monday and Sunday.
    • If no sufficient gap is found, the report flags the longest recorded gap.
    • Employees working on Sundays may see an infringement logged until their first long break in the following week.
    • This can be managed by filtering for authorised periods in the report.
