Time Tracking - Configuration

This guide is for System Administrators (Requires 'System Admin' role with 'System setup', 'User Templates', and 'Users' permissions).
Overview:
Time Tracking is a premium feature for monitoring working hours, particularly useful for EU Time Directive compliance (e.g., in Spain/Germany) or timesheet management. Includes clocking in/out functionality and detailed reporting.
How Time Tracking Works:
Once enabled, Time Tracking can be configured at Global, Template or User levels, with various settings for entry methods, notifications, overtime awards and break rules.
How to Enable Time Tracking:
1. Global Level:

  1. Navigate to Admin tools > Admin panel > Global > Time tracking
  2. Check 'Enable Time Tracking'
  3. Configure additional settings as needed
  4. Click Save

2. Template Level:

  1. Navigate to Admin tools > Admin panel > Templates
  2. Edit the relevant template > Select the Time Tracking tab
  3. Set 'Enable Time Tracking' to Yes
  4. Configure settings as needed
  5. Click Save template

3. User Level:

  1. Navigate to Admin tools > Admin panel > Users
  2. Edit the relevant user > Select the Time Tracking tab
  3. Set 'Enable Time Tracking' to Yes
  4. Configure settings as needed
  5. Click Save user

Configuration Options:

  • Time entry mode: Set the desired mode for time entry
  • Notifications: Enable authorisation alerts
  • Timesheet controls: Unlocking/editing permissions for user and authoriser
  • Rota integration: Auto-populate from rota patterns or present a button to copy in manually
  • Submission frequency: Weekly/Monthly
  • Hour limits: Set daily/weekly maximums for time submissions
  • Activities: Track time against specific tasks (tasks must be created first)
  • Overtime Award: Auto-adjust entitlement provided by time worked over
  • Breaks: Configure up to 5 mandatory break bands or general break settings
