Enabling Override Full-Day Booking at the User Level

Who this guide is for
System administrators – Requires ‘System Admin’ role and Users permission

Overview
Enable Full day bookings always equal 1 day at the User level so a full working day of absence consistently deducts 1 day from the user’s entitlement.

How “Full day bookings always equal 1 day” Works
When enabled on a user’s entitlement pot (e.g. Holiday), any booking that covers the user’s full working hours for a day will deduct exactly 1 day, regardless of the user’s Hours Per Day (HPD) value. This is useful for part-time or irregular patterns where a full day should still count as one day.

How to Set Up “Full day bookings always equal 1 day”

  1. Go to Admin tools > Users.
  2. Find the user and click Edit.
  3. Open the Entitlements tab.
  4. On the relevant entitlement pot (e.g. Holiday), click Edit.
  5. Enable Full day bookings always equal 1 day.
  6. Click Save User at the top of the page.

Additional Information

  • Hours Per Day (HPD): The user’s standard daily working hours; with this setting on, a full-day booking still deducts 1 day even if HPD varies.
  • Scope: Applies to day-based booking calculations for the selected pot.
  • Requires ‘System Admin’ role and Users permission.
  • Warning: User-level settings override Template and Global for this user. Review downstream reporting before and after changes.
  • Best practice: Ensure the pot’s Time Unit suits your policy (typically Days) and verify behaviour with a test booking on the user’s rota pattern.
  • Tip: Use the search function within the platform to quickly find features or settings.
