End of Year Checklist - Best Practice

Who this guide is for: System administrators – Requires ‘Entitlement setup’ permission


Overview
The New Year is fast approaching, and with it your Holiday Year rollover (or “carryover”) in edays. There are several key items to consider at this time, so we’ve prepared this handy guide to help you get the most out of the platform.


Next Year Entitlement
If Next Year’s entitlement hasn’t yet been awarded, users will see a 0 balance and cannot book time off. To resolve this:

  • Use the Import Entitlement tool to bulk update next year’s balances, importing a new Base Entitlement value.
  • If Accrue on Rollover is enabled in Entitlement Setup, the next year’s balance will auto-award on 1 January—though we still recommend verifying each user’s entitlement beforehand.
  • If balances were imported but users still cannot book, check your System Setup settings.


Carryover
edays offers both manual and automatic carryover:

  • Manual carryover requires users to submit a request.
  • Automatic carryover processes unused balances at rollover.


You can also set a maximum carryover amount and define expiry dates. To configure:

  • Global: Global > Entitlements
  • Template: Template > Edit > Entitlements
  • User: Users > Edit > Entitlements

Note: For system-wide rules, configure at Global; for specific regions or groups, use Template or User.


IMPORTANT NOTE:
Automatic carry over requires all absences to be authorised. Any Pending absence will cause that user’s carryover to be skipped. Run an Absence Information report to identify pending requests and ensure managers approve them. After rollover, retroactive authorisation does not trigger automatic carryover—you must manually add records for skipped users.


Public Holidays
Public Holidays are not auto-updated. Each year you must:

  1. Review every Country List under Calendar > Public Holidays.
  2. Import next year’s dates via the Import Feed, or manually add any missing days.


Custom Days
Custom Days (e.g. Christmas shutdowns) must also be updated annually:

  • Add new Custom Days lists or dates under Calendar > Custom Days.
  • Ensure any office closures deduct correctly from entitlements to prevent overbooking.
