Updating a Users holiday entitlement

Who this guide is for: System administrators. Requires 'Users' permission.


Overview:
This guide explains how to manually adjust a user's holiday entitlement balance when special circumstances require changes outside automatic accruals.


Please note: Do not use this to adjust user's TOIL or Overtime entitlement due to the entitlement discrepancies it can cause.


How Manual Entitlement Adjustments Work:
HR can directly modify a user's entitlement balance for past, current or future years. This is useful for correcting errors, making goodwill adjustments, or accounting for special circumstances not covered by standard accrual rules.


How to Adjust a User's Entitlement:

  1. Go to Admin Tools > Users
  2. Search for the user and click the blue Edit button
  3. Select the Entitlements tab
  4. Click Edit for the entitlement pot that you wish to amend, for example Holiday
  5. Click Edit for the element you wish to conduct the amendment on, for example Annual Entitlement
  6. Click on Set entitlement
    • Select the Booking period (f.e Current year)
    • Set an amount in Set entitlement to (f.e if you wish to increase a user's entitlement by 5 days from 25 days, then you put the amount as 30 days)
    • Add a Description - it will help audit any adjustments conducted
  7. Click on Confirm
