Aimed at: System administrators who need to control who can book different types of absences.
Overview
This guide explains how to configure booking permissions for absence types at the Template level, allowing you to control whether users can book absences for themselves, their team members, or other colleagues.
How Booking Settings Work
These settings determine:
- Self-service: Whether users can book their own absences
- Manager permissions: Whether managers can book for their direct reports
- Delegated booking: Whether users can book absences for other colleagues
Settings applied at the Template level override Global defaults for specific user groups.
How to Configure Booking Settings
- Navigate to Admin Tools > Admin Panel
- Go to Templates > User Templates
- Locate the Template you want to edit and click the blue Edit button
- Select the Absence Types tab
- Find the Absence Type to update (use the search filter if needed)
- Click the blue Edit button for that Absence Type
- Scroll to the Booking Settings section
- Configure these options as needed:
- Can book own absences: Allow/disallow self-booking
- Can book reportees' absences: Control manager booking permissions
- Can book others' absences: Enable/disable delegated booking
- Click the blue Save Template button at the top
Additional Information
- Key Terminology:
- Reportees: Employees who directly report to a manager
- Inherited: Values taken from higher-level settings unless overridden
- Permissions Required:
- User Templates permission to make these changes
- Best Practices:
- Restrict "book others' absences" to HR/admin roles to prevent misuse
- Consider different settings for different absence types (e.g., allow managers to book sick leave but not holidays)
- Reminder: These settings combine with individual user permissions - both must allow the action
- Tip: Use the search function to quickly find "Booking Settings"
