Entitlement Setup - Accrual policy setup

Who this guide is for: System administrators. Requires 'Global Settings' permission.

Overview:
This guide explains how to configure accrual policies, which determine when and how entitlement is awarded to users based on service length or other criteria.

How Accrual Policies Work:
Accruals consist of two components:

  1. Long Service Award: Defines how much entitlement is given
  2. Accrual Policy: Determines when the entitlement is awarded
Policies can be set to trigger on various schedules (yearly, monthly, employment anniversary etc.) and can account for FTE (pro-rata arrangements).

How to Set Up an Accrual Policy:

  1. Navigate to Global > Entitlements
  2. Click Accrual Patterns and click on + Add new
  3. Configure these key settings:
    • Description: Use clear names like "Yearly Employment Start"
    • Enable Projected Annual Total: (Usually disabled)
    • Prorate Award: Typically set to Yes to account for FTE
    • Award in the Year:
      • Current Year: Awards take effect immediately (most commonly used)
      • Next Year: Awards apply from next holiday year start
    • Recurrence Pattern: Set frequency (yearly, monthly etc.)
  4. Click Save at the top of the page

Additional Information:

  • Key Terms:
    • Accrual: Gradual accumulation of entitlement
    • FTE Proration: Adjusting awards for part-time staff
  • Permissions: 'Global Settings' role required
  • Tip: Use clear naming conventions for easy policy identification
  • Warning: Next Year setting affects rollover behaviour
  • Search Tip: Use the platform search for "accrual setup" to quickly find these settings
