Who this guide is for: System administrators – Requires ‘System Admin’ role and User Templates permission
Overview:
Assign a Custom Days group (e.g. Christmas shutdown) to a Template so all users on that template inherit the same organisation-specific dates.
How Custom Days Works:
Custom Days are fixed dates grouped under a name and colour. They can optionally deduct from an entitlement pot (configured on the group). Assigning at Template level applies the group to every user in that template and overrides Global for those users.
How to Set Up Custom Days on a Template Rota:
Go to Admin tools > Admin panel > Template > User Templates.
Click Edit on the required template (you’ll land on Template Settings by default).
Open the Rota tab.
In Custom Days, click Apply custom days.
Click Apply on the desired Custom Days group; preview dates in the calendar.
Click Save Template at the top of the page.
Additional Information:
Custom Days: Organisation-specific dates; may deduct entitlement depending on group settings.
Permissions: Assigning at Template requires User Templates; creating/editing groups is under Admin tools > Admin panel > Calendar > Custom Days (requires Global Rota Setup).
Warning: Template overrides Global; changes affect all users assigned to the template.
Best practice: Use clear group names (e.g. “UK – 2025 Shutdown”); avoid assigning overlapping groups; verify the preview before saving.
Save action: Always click Save Template (top of page).
