Overview:
Configure a template’s rota by applying Custom Days, Public Holidays, and optional Calendar Events so all users on that template inherit the same non-working and marker dates.
How Template Rota Configuration Works:
The Rota tab in a template lets you: apply predefined Custom Days groups, set a Public Holiday calendar, and optionally add Calendar Events. Changes apply to all users assigned to the template; user-level settings can override where configured.
How to Set Up Template Rota (Custom Days, Public Holidays, Events):
- Go to Admin tools > Admin panel > Template > User Templates.
- Click Edit on the required template; you’ll land on Template Settings by default.
- Select the Rota tab.
- Apply Custom Days:
- In Custom Days, click Apply Custom Days to select an existing group (or + Create Custom Days if available).
- Review the calendar preview and click Save Template.
- Apply Public Holidays:
- In Public Holidays, click Apply Public Holidays to choose an existing group (or + Create Public Holidays if available).
- Verify the dates in the preview and click Save Template.
- Manage Events (optional):
- In Events, click Apply events (or + Create events) to add a Calendar Events group.
Check the preview and click Save Template.
Additional Information:
- Custom Days: Organisation-specific fixed dates (e.g. shutdowns) that may deduct entitlement depending on group settings.
- Public Holiday Group: A regional holiday calendar assignable to users/templates.
- Calendar Events: Non-blocking markers (e.g. training days) shown in calendars.
- Permissions: Requires 'System Admin' role and User Templates permission. Creating/editing Custom Days/Public Holidays/Events at Global level typically requires Global Rota Setup.
- Warning: Template changes affect all users on the template. If Custom Days deduct entitlement, balances may adjust when applied.
- Best practices: Use clear naming for groups; review the calendar preview before saving; communicate changes to affected teams.
- Save action: Click Save Template (top of page) after each change.
- Tip: Use the search function within the platform to quickly find features or settings.
