Rota/Calendar - Applying public holidays to a Template rota

Who this guide is for: System administrators – Requires ‘System Admin’ role and User Templates permission


Overview:
Apply a Public Holiday Group to a template so all users assigned to that template inherit the correct public holidays on their calendars.


How Public Holiday Groups Work:
Public holidays are stored as Public Holiday Groups (collections of dated entries with a display colour). Users inherit these from Global by default, but a Template assignment will override Global for all members of that template.


How to Set Up Public Holiday Group (Template):

  1. Go to Admin tools > Admin panel > Template > User Templates.

  2. Click Edit on the required template (you’ll land on Template Settings by default).

  3. Open the Rota tab.

  4. In Public Holidays, click Apply Public Holidays.

  5. Select the required Public Holiday Group and click Apply.

  6. Review the preview, then click Save Template at the top of the page.


Additional Information:

  • Public Holiday Group: A named set of public holiday dates assigned to users/templates.

  • Requires ‘System Admin’ role and User Templates permission. Creating/editing groups is managed under Admin tools > Admin panel > Calendar > Public Holidays (requires Global Rota Setup).

  • Warning: Template overrides Global; changes affect all users assigned to the template.

  • Best practice: Use region-appropriate groups and avoid assigning multiple overlapping groups to the same template.

  • Use the search function within the platform to quickly find features or settings.
