Overview
This guide explains how to manage user authorisation settings, including changing authorisers, updating authorisation templates, and creating record-specific authorisation chains.
How Authorisation Settings Work
Authorisation settings determine who actions a user’s absence/overtime requests and how many actionable steps are required. Key options for action steps include:
- No authorisation – Requests auto-approve.
 - Single-step – One approver required.
 - Dual-step – Two approvers required.
 
Additionally, you also have the option to set up record-specific chains - with this, you are able to configure custom approval rules for certain record types.
How to Set Up Authorisation Settings
Changing a User’s Authoriser(s)
- Navigate to Admin Panel > Users
 - Locate the user and click "Edit".
 - Scroll to the "Authorisers" section.
 - In the "Authorisation level 1", select a new approver from the dropdown.
- Optionally, you can also assign an alternative authoriser - this will send the actionable record to the alternative authoriser when the default authoriser is absent or when the request has not been actioned within an inactivity period
 
 - Repeat for additional levels if using a multi-step authorisation template.
 - Click "Save user" in the top right corner of the page.
 
Changing a User’s Authorisation Template
- Navigate to Admin > Users
 - Locate the user and click "Edit".
 - Scroll to the "Authorisers" section.
 - Select a new "Authorisation Template"
- Best Practice: Ensure the user has no pending requests before changing templates.
 
 - Assign approvers for each step (if applicable).
 - Click "Save user" in the top right corner of the page.
 
Creating a Record-Specific Authorisation Chain
- Navigate to Admin > Users
 - Locate the user and click "Edit".
 - Scroll to the "Authorisers" section.
 - Click "Add record-specific workflow".
 - Select an "Authorisation Template".
 - Choose the "Record type" (f.e "Holiday") - you can choose multiple
 - Choose the "Record status" (Authorisation, cancellation, or both)
 - Assign approver(s).
 - Click "Save user" in the top right corner of the page.
