Who this guide is for: System administrators – Requires ‘System Admin’ role and Users permission
Overview:
This guide explains how to disable an Entitlement Pot at the User level, useful when a pot is enabled globally or via a template but must be turned off for specific individuals.
How disabling an Entitlement Pot Works:
Entitlement Pots (e.g. Annual Leave, TOIL) group leave balances. Disabling a pot in a user’s profile removes that leave type from their available balances without affecting the global or template configuration for others.
How to Set Up a Disabled Entitlement Pot:
Go to Admin tools > Users > User settings
Search for the user and click Edit on their row.
Select the Entitlement tab.
Find the required Entitlement Pot and Disable.
Confirm the dialogue box.
This action will save the user automatically.
Additional Information:
Entitlement Pot: A categorised balance of leave (e.g. Annual Leave, Overtime TOIL).
Requires ‘System Admin’ role and Users permission.
Warning: Disabling here overrides Template and Global settings for this user only.
Reminder: Other users’ entitlements remain unchanged.
Best Practice: After disabling, verify the user’s leave balance to avoid unexpected deductions.
Tip: Use the search function within the platform to quickly locate users or entitlement pots.
