Changing/Assigning Rota on a User Level

System Administrators with Users permission.


Overview

This guide explains how to change a user's rota pattern, which will automatically update future absence records starting from the selected date.


How Rota Pattern Changes Work

  • Purpose: Modify a user's working schedule (e.g., shift patterns) to reflect role changes or updated availability.
  • Impact: Updates all future absence records from the new rota's start date (past records remain unchanged).


How to Change a User's Rota Pattern

  1. Navigate to Admin > Users > Users.
  2. Use search filters to locate the user, then click the blue "Edit" button.
  3. Select the "Rota" tab.
  4. Click "Apply Rota".
  5. Find the new rota pattern and click its blue "Apply" button.
  6. Enter the start date for the new rota and click "Confirm".
  7. Press the orange "Save all changes" button at the top of the page.


Additional Information

  • Prerequisite: User's permission in your edays role.

  • Key terms:

    • Rota pattern: Predefined working schedule (e.g., "Night Shifts," "4-Day Week").

  • Important:

    • Changes affect future absences only (from your selected start date).

    • Always use the Save button at the page top – unsaved changes will be lost.

  • Tip: Use the platform’s search function to quickly find Users or Rota settings.
