Who this guide is for: System administrators – Requires 'System Admin' role and access to Users
Overview:
This guide explains how to update the Hours Per Day setting for individual users. This setting determines how many hours make up a full day for that user and directly impacts absence and entitlement calculations.
How Hours Per Day Works:
The Hours Per Day value defines how many hours equal a full working day for a user.
- Used in day-based rota patterns to calculate weekly hours.
- Used in hours-based rota patterns to convert absence time into day fractions.
Example:
- If Hours Per Day = 08:00 and rota duration = 06:00, a full-day absence will show as 0.75 days.
- If rota and hours per day both = 08:00, the absence is recorded as 1 full day.
How to Adjust Hours Per Day at User Level:
- Go to Admin tools > Users.
- Search for the relevant user and click Edit on the right-hand side.
- Navigate to the System tab.
- Find the Hours Per Day field and enter the new value (in HH:MM format, e.g. 07:30 or 08:00).
- Scroll to the top and click Save User.
Additional Information:
- Hours Per Day: The number of hours that defines one working day for absence and entitlement purposes.

- Changing this value may affect how absences are recorded and how entitlements are consumed.
- Tip: Always review the user’s entitlement balances after changes to confirm expected behaviour.
- Use the search function within the platform to quickly find features or settings.
