This guide is intended for System Administrators
Overview:
Set organisation-wide rules for absence durations and notice periods to standardise booking policies across your workforce.
How Global Absence Rules Work:
- Length Restrictions: Control minimum/maximum duration of single bookings
- Notice Periods: Manage how far in advance/retrospectively absences can be booked
- Applies to all users unless overridden by template/user settings
- Establishes baseline policies for consistent absence management
How to Set Up:
Setting Absence Length Limits:
- Navigate to Admin Tools > Admin Panel
- Then Global > Absence Setup
- Find the absence type (use search if needed) and click Edit
- Expand Min/Max Settings and:
- Set Minimum Length (e.g., 0.5 for half-day minimum)
- Set Maximum Length (e.g., 14 for two-week maximum)
- Click Save (top right)
Setting Notice Period Requirements:
- Follow steps 1-4 above
- Expand Min/Max Settings and:
- Set Minimum Notice Period (e.g., -7 to allow bookings from 1 week ago)
- Set Maximum Notice Period (e.g., 365 to allow bookings up to 1 year ahead)
- Click Save (top right)
Additional Information:
- Key Terms:
- Length Limits: Controls individual absence lengths
- Notice Periods: Manages booking timeframe (negative values allow absences to be logged for historic periods)
- Permissions Required: 'Absence Setup'
- Best Practices:
- Set global defaults before creating template or user level exceptions
- Use template-level settings for departmental variations where needed
- Use user-level settings for individual user variations where needed
- Important:
- Template/user settings override global rules
- Changes apply immediately to all users
- Tip: Use the search function to quickly find templates or absence types
